REACHING PATIENTS SHOULDN’T BE HARDER THAN CARING FOR THEM
Your front desk dials, leaves a voicemail, and moves on to the next name. The letter comes back. The portal invite never gets opened. Meanwhile, the 10:30 slot sits empty, the screening list keeps growing, and a patient who speaks Vietnamese is still waiting to hear from you. Your health center isn’t short on heart. It’s short on hours, and every unanswered call eats more of them.
Health center no-show rates run 20% to 40%
24% of medical assistants leave health centers every year
1 in 4 patients needs care in another language

TWO-WAY TEXTING FOR FQHCs, BUILT AROUND HOW CARE ACTUALLY HAPPENS
The right text, triggered automatically
Appointments, recalls and renewals in your EHR trigger confirmations, prep reminders, intake links and check-ins without anyone lifting a finger.
Paperwork gets done by text
Trackable short links deliver intake forms, consents, sliding-fee applications and payment links to the patient's phone, with signatures captured and staff notified on submission.
Patients answer in plain language
"Yes," "Y" and "Sí" all confirm. "RS" reschedules. "RIDE" flags a transportation need. No app, no login, no portal password to remember.
Every patient, in their own language
AI Translator converts outbound and inbound messages in real time, so a patient who speaks Spanish, Vietnamese or Haitian Creole gets the same reminder as everyone else.
Only the exceptions reach your staff
Routine replies are handled automatically. Reschedules, questions and ride requests route to the right site or team with saved responses ready to send.
See it all in real time
AnalyticsPRO shows who received each message, who clicked, who replied and who still needs a call, so outreach staff start with the patients who need them.

PHYSICIAN GROUP
REAL RESULTS
The challenge: The physician services division of a large health system needed to reduce no-shows quickly and efficiently. Missed appointments were costing considerable time and money, and automated phone calls were the only appointment tool in place. Leadership wanted a fix that worked fast without adding to the load on clinic teams.
The solution: The division rolled out Dialog Health's two-way, real-time texting platform across its clinics. Automated confirmations and reminders went out with each patient's name, date and time, patients replied OK to confirm or RS to reschedule, and staff used group and direct texts for everything else.
34% drop in no-shows in six months
No-show rate down from 7.64% to 5.03%
$100,000 in projected additional revenue
Reschedules handled by text instead of phone tag
HEALTH CENTER STAFF COMMUNICATION THAT REACHES EVERY PHONE IN MINUTES
Most of your workforce isn't sitting at a desk checking email. The same platform that texts your patients reaches your MAs, community health workers, dental and behavioral health teams wherever they are.
Open-shift and coverage alerts: broadcast a gap, and the first "YES" fills it.
Emergency and closure alerts: weather, power outages, IT downtime and mobile-unit cancellations.
Policy updates and acknowledgements: trackable links show who read and who signed.
Staff surveys and pulse checks: yes/no polls, ratings and burnout check-ins.
Training and compliance deadlines: HIPAA, OSHA, credentialing and site-visit prep reminders.
Group-specific messaging: filter by site, department, role or language.
Proof: Southern Coos Hospital & Health Center reached 99% of employees within minutes during the December 2024 tsunami warning. At the onset of the COVID-19 crisis, Lovelace Health System sent more than 46,000 messages to nearly 3,600 employees between March 15 and March 31, which its VP of Marketing called “an easy, quick, and effective way to provide support, encouragement, and guidance during a challenging time.”
ANALYTICS AND REPORTING
ANALYTICSPRO, REAL-TIME, ACTIONABLE DATA
Real-time delivery receipts and click and reply tracking show which patients confirmed, which opened their intake link and which asked for a ride or a call. Outreach staff stop working down a list and start with the patients who need them. Leadership gets outreach and ROI reporting it can take to the board and the quality committee.

BUILT AND DESIGNED FOR HEALTH CENTERS OF EVERY SIZE
Dialog Health's HIPAA compliant texting scales from a single site to a multi-county network, serving:
FQHCs and look-alikes: patient and staff communication across every site and service line
Rural and frontier health centers: big-system reach without big-system staffing
Medical, dental and behavioral health teams: reminders, prep, follow-up and recall
Patient access, call centers and billing: scheduling, intake, eligibility and payments
Outreach, enabling services and HR: renewals, rides, events, staffing and alerts
Typical users include schedulers, front-desk staff, care coordinators, community health workers, enrollment assisters, call-center agents, quality teams, patient financial services and HR.
FREQUENTLY ASKED QUESTIONS
Is texting patients HIPAA compliant, and will you sign a BAA?
Yes, when it's done on the right platform with the right content. Dialog Health follows HIPAA, SSAE and SOC II standards from hosting and storage through processing and transmission, and we sign a Business Associate Agreement with every health center client. Ask any vendor for that BAA first. "HIPAA certified" isn't a real credential, so look for the specific standards a vendor holds.
What can and can't we put in a text?
Apply HIPAA's "minimum necessary" rule. A reminder can include the patient's first name, your health center's name, the date and time, prep or arrival instructions, a secure link and opt-out language. Keep diagnoses, results and visit details behind a secure link, not in the message itself. Name the health center rather than the service line, because "behavioral health" or "HIV clinic" on a lock screen can itself be a disclosure.
How do consent, opt-outs and the TCPA work?
Treatment, care-coordination and payment messages generally need only the patient's prior express consent, which is typically given when they provide a mobile number at registration. Marketing-style outreach needs stricter written consent. Since April 11, 2025, the FCC has required that opt-outs made by any reasonable means be honored within 10 business days. Every program includes "Reply STOP" language, and Dialog Health tracks opt-ins and opt-outs at the patient level.
Does it integrate with our EHR?
Yes. The platform is integration-agnostic and supports full integrations with Epic, Cerner, MEDITECH, athenahealth, NextGen, Greenway, ModMed and others. It accepts HL7, CSV, XML and JSON via sFTP, web API or direct upload, with bidirectional data flow, so appointments, recalls and balances trigger texts automatically. Running Epic through OCHIN or Community Connect, or on eClinicalWorks? Ask us and we'll walk through the exact data flow.
How long does implementation take, and how much IT lift is involved?
Less than most health center IT projects, which matters when your whole IT team is two people. The platform is cloud-based, with no hardware to buy and no app to install. Many health centers start with a simple file upload and add a deeper EHR feed later. Sites build their own workflows in a no-code console using healthcare templates, and a client success team guides you through go-live.
How is this different from our patient portal or the texting built into our EHR?
Portals require a login and an email address, and adoption at safety-net clinics can run a third of the national rate. A text needs nothing but the phone your patients already carry, flip phones and prepaid plans included. Dialog Health adds what basic EHR notifications usually lack: true two-way conversation, branching workflows, trackable links, translation, staff messaging and campaign-level analytics in one place.
Won't two-way texting flood our staff with replies?
No. Automated flows handle the routine replies ("YES," "Y," "Sure") and only the exceptions surface: a reschedule request, a question, a "RIDE" or a "CALL." A priority inbox, routing by site or department and saved responses keep it manageable. Clients have cut pre- and post-appointment phone calls by 92% and saved 20 staff hours in a 90-day pilot.
Can we reach our own employees on the same platform?
Yes. Health centers use Dialog Health for weather and emergency alerts, open-shift and coverage notifications, policy acknowledgements, credentialing and training reminders, open enrollment and staff surveys. You can segment by site, department, role or language, so the dental team at one location gets a different message than the mobile unit. One Dialog Health client reached 99% of employees within minutes during a tsunami warning.
How does texting help with UDS measures and care gaps?
By doing the outreach part at scale. Pull your due lists for cervical, colorectal and breast cancer screening, A1c and blood pressure follow-up, immunizations, well-child and prenatal visits, then send targeted recall texts with scheduling links and see who booked. Your EHR and quality team still calculate the measures; Dialog Health moves the patients behind the numbers. Clients have seen a 15% increase in recall appointments.
What about patients who don't speak English?
More than one in four health center patients is best served in a language other than English. With AI Translator, staff write in English and patients receive and reply in their own language, with inbound and outbound messages translated automatically across reminders, forms and payment links. One health network increased its response rate by 380% within 60 days of turning on multi-language texting.
Do you use short codes or 10DLC, and will our texts actually be delivered?
Both, plus Tier-1 carrier connectivity, so your messages are delivered as registered, compliant traffic rather than filtered bulk messages. AnalyticsPRO gives you real-time delivery receipts for every message, so you can see who received it, whose number is disconnected and who needs another channel, which matters when many of your patients change phones often.
What is RCS, and is it safe for PHI?
RCS is the upgraded version of texting: a verified sender with your health center's logo, images and one-tap buttons, so patients know the message is really from you. It works in native messaging apps on modern Android phones and on iPhones running iOS 18 or later. Use RCS for non-PHI messages like reminders, event announcements and payment links, keep clinical content on the HIPAA compliant channel, and SMS remains the automatic fallback.
How do we measure ROI?
Record your baseline before go-live: no-show and same-day cancellation rates, recall completion, phone hours and days to payment. Then track the same metrics in AnalyticsPRO with exportable reports and A/B comparisons. Health centers typically build the case on protected visit revenue, closed care gaps for UDS and value-based contracts, retained coverage and staff hours returned to patient care.
What does it cost, and how do we get started?
Pricing depends on your health center's size, number of sites and use cases, and we can provide the documentation your grants team needs if you plan to fund it through an existing award. The fastest next step is a 15-minute, no-pressure demo where we map Dialog Health to your highest-cost communication gap, whether that's no-shows, recall, renewals or staff alerts.
