A CANCELLED CASE IS AN EMPTY ROOM YOU’RE STILL PAYING FOR
The surgeon is booked, anesthesia is staffed, and the room is turned over. Then the patient ate breakfast, skipped half the prep, or never got the GLP-1 message. The cause is rarely defiance. It’s communication: instructions given at booking are forgotten by the time they matter. A phone call goes to voicemail. A text gets answered. In one ASC’s pre-op screening campaign, 71% of patients replied, with a median response time of 13 minutes.

40–80% of instructions forgotten on the spot

TWO-WAY TEXTING AT THE HEART. EVERYTHING ELSE BUILT AROUND IT.
Two-Way Texting
Patients reply in plain words — “YES,” “OK,” “Is coffee okay?” — and your team answers in the same thread. Problems surface days early, not at check-in.
Branded Short Links
Custom, trusted links to prep packets, maps and forms, tracked per patient. One client saw 100% click-through on pre-op instructions.
Automated Workflows
Build your confirmation → reminder → prep → NPO → post-op cadence once, by procedure type, and roll it out to every center. Then it runs itself.
AI Translator
Write in English; patients read and reply in 130+ languages, automatically. No interpreter queue for routine prep messages.
Digital Forms
Health history, med lists, consents and pre-registration, completed on the patient’s phone. Submissions land in your dashboard — no clipboards, no re-keying.
AnalyticsPRO
See who received, read, clicked and replied, in real time, so nurses call the five patients who went quiet instead of all fifty.

REAL RESULTS
The challenge: East Valley Endoscopy in Mesa, Arizona, was averaging about 16 patient cancellations a month. The top causes were NPO non-compliance, no-shows, and missing or poor prep. Each one meant an idle procedure room, a slot no one could backfill, and a colonoscopy or EGD pushed further out.
The solution: Using Dialog Health’s console, the center built its own automated, two-way workflow of four texts before every procedure: a 10-day confirmation, a 5-day reminder, a 3-day compliance reminder, and a 2-day appointment and NPO reminder. Patients could confirm or flag a conflict by text, so openings got filled earlier.
66% fewer same-day cancellations
63% less NPO non-compliance
56% fewer no-shows
90% fewer no-prep or poorly prepped patients
$120,000: estimated annual revenue protected
ASC STAFF COMMUNICATION THAT REACHES EVERY PHONE IN MINUTES
Most of your workforce isn’t sitting at a desk checking email. The same platform that texts your patients reaches your nurses, techs and support staff wherever they are.
Open-shift alerts: broadcast a shift, and the first “YES” fills it.
Emergency and crisis alerts: weather, power outages, shelter-in-place, cybersecurity incidents and IT downtime.
Policy updates and acknowledgements: trackable links show who read and who signed.
Staff surveys and pulse checks: yes/no polls, ratings and satisfaction surveys.
Training, credentialing and compliance deadlines: OSHA, HIPAA and vaccination reminders.
Group-specific messaging: filter by department, location, role or language.
Proof: Southern Coos Hospital & Health Center reached 99% of employees within minutes during the December 2024 tsunami warning. At the onset of the COVID-19 crisis, Lovelace Health System sent more than 46,000 messages to nearly 3,600 employees between March 15 and March 31, which its VP of Marketing called “an easy, quick, and effective way to provide support, encouragement, and guidance during a challenging time.”
ANALYTICS AND REPORTING
ANALYTICSPRO, REAL-TIME, ACTIONABLE DATA
See which confirmations, prep and NPO messages were delivered and read, which links were clicked, and who replied, in real time. Your pre-op team calls only the patients who haven’t engaged. Leadership can track cancellation goals QAPI-style and report ROI with hard numbers, center by center.

BUILT FOR THE TEAMS WHO RUN ONE CENTER, OR FIFTY
Dialog Health’s HIPAA-compliant texting scales from a single surgery center to a national portfolio, serving:
ASC management companies and multi-site groups: one standard workflow everywhere, with local flexibility
GI and endoscopy centers: prep adherence and NPO compliance at scale
Orthopedic, spine and total-joint centers: more complex prep as more cases move outpatient
Ophthalmology and multi-specialty ASCs: procedure-specific instructions for every service line
Typical users: VPs and directors of operations, center administrators, pre-op and PACU nurse managers, schedulers, business office teams and patient-experience leaders.
FREQUENTLY ASKED QUESTIONS
Is texting patients HIPAA compliant for a surgery center?
Yes, when it’s done right, and Dialog Health is built for it. The platform follows HIPAA, SOC II, TCPA and CTIA standards. Data is encrypted in transit and at rest with AES-256, access uses MFA, and hosting is US-based. Following the “minimum necessary” principle, a compliant pre-op text covers logistics and instructions. Clinical detail stays behind secure links, not in the message itself.
Will Dialog Health sign a Business Associate Agreement (BAA)?
Yes. As a vendor handling patient contact data for covered entities, Dialog Health provides a BAA as part of contracting. Your compliance team can review it during evaluation.
What about TCPA, consent and opt-outs?
Appointment, prep and NPO texts are healthcare treatment messages. They generally require prior express consent, which is usually satisfied when a patient gives their mobile number for their care, rather than the written consent required for marketing. Every program includes clear opt-out language such as “Reply STOP.” Under the FCC rule effective April 11, 2025, patients can revoke consent by any reasonable means, and Dialog Health tracks opt-ins and opt-outs at the patient level.
What should, and shouldn’t, go in a pre-op text?
Should: your center name, the patient’s first name, date and arrival time, plain-language prep and fasting reminders, a link to the prep packet, a map, and a number for questions. Shouldn’t: diagnoses, procedure details that reveal a condition, or anything a lock-screen preview shouldn’t show. Put sensitive detail behind a trackable, secure link.
Does it integrate with SIS, HST, Provation and our EHR?
Yes. Dialog Health is integration-agnostic and lists ASC systems including SIS Complete, Provation, HST and BHC, plus Epic, Cerner, Greenway, ModMed, NextGen, Meditech and athenahealth. It accepts HL7, CSV, XML and JSON via sFTP, Web API or upload, so schedules and contact data stay in sync automatically.
Our ASC software already sends texts. Why add Dialog Health?
Many native tools send reminders well. What matters for cancellations is what happens next. Can patients reply in natural language and reach a person? Can you run different cadences by procedure without filing a support ticket? Can you translate automatically, track every link and form, and compare results across centers? If your current tool does all of that, keep it. If not, Dialog Health adds it on top of the systems you already use.
How fast can we go live, and how much staff time does it take?
Dialog Health is cloud-based, so there’s no hardware to install and nothing for patients to download. Teams build workflows in a self-service console using best-practice healthcare templates, with no coding. East Valley Endoscopy built its own campaign and saw ROI within weeks. A dedicated client success team guides implementation and go-live.
Can we standardize across all of our centers and still let each one customize?
Yes. Build a gold-standard workflow once (confirmation, reminder, prep, NPO, post-op) and deploy it across your portfolio. Each center can adjust arrival times, maps, phone numbers and procedure-specific prep. User-level controls keep each team in its own lane, and AnalyticsPRO lets leadership compare performance center by center.
What happens when a patient replies?
Common replies (“Yes,” “Y,” “Yea,” “OK,” “Sure”) are recognized automatically and confirm the appointment. Anything else, like “Can I take my blood pressure pill?” or “I need to reschedule,” lands in one conversation thread. Your staff answer it with saved responses or a quick personal reply. You learn about problems days before the procedure, with time to fill the slot.
Will this actually reduce pre-op nurse calls?
Dramatically. It won’t eliminate them, and it shouldn’t. Automated confirmations, prep and NPO reminders mean nurses stop dialing every patient and focus on the few who haven’t engaged or who flagged a problem. Clients report up to 92% fewer pre- and post-op calls. In one 90-day hospital surgical pilot, staff saved 20 hours on calls.
Can patients get messages in their own language?
Yes. The AI Translator handles outbound instructions and inbound replies in 130+ languages, in real time. Staff write in English, and patients read and reply in their preferred language, with no app and no interpreter queue for routine messages. One client’s multi-language response rate rose 380% within 60 days.
Will our texts actually be delivered?
Dialog Health runs on Tier-1 carrier connectivity with short codes and 10DLC, and handles the carrier registration work for you: brand and campaign registration, number verification and verified-sender approval for RCS. Delivery receipts in AnalyticsPRO show exactly who received each message, so nothing disappears silently.
What reporting do we get?
AnalyticsPRO shows real-time delivery receipts, read and click tracking, replies, opt-outs, form submissions and campaign A/B comparisons, all exportable. Operations leaders see which centers and procedures have engagement gaps. Pre-op managers see exactly which patients need a call today.
How do we measure ROI?
Do what East Valley did. Set a baseline same-day cancellation rate, define a target, and track results through a QAPI study. Then tie the prevented cancellations to protected revenue. With ambulatory OR time averaging about $36 a minute, a single 90-minute case that doesn’t go ahead represents roughly $3,250 in idle room cost before you count the lost facility fee. East Valley estimated $10,000 a month protected.
What does it cost?
Pricing is tailored to the number of centers, your message volume and the modules you need, such as Digital Forms, AI Translator or payment links. The fastest way to a number is a 15-minute, no-pressure demo where we map the platform to your cancellation reasons and case volume.
